Rental Policies

Our staff looks forward to making your stay with us at VillaSummit a truly enjoyable experience. We ask that you please take a moment to read this confirmation in full, to ensure that it is correct. When you book lodging with VillaSummit, you must understand and fully accept the Rental Agreement set forth for these accommodations. Thank you!

 

General:

Payment of deposits by the guest or guest's agent constitutes acceptance and confirmation by the guest and guest's agent of the deposit and cancellation and use policies, restrictions, and additional information given in this Rental Agreement. If a credit card is used by the guest or guest's agent for advance deposits or payments, the guests and guest's agent hereby agree to have the advance deposits and payments listed in the guest's confirmation charged to the credit card, and further agree that said amounts shall be subject to the deposit and cancellation policies given in this Rental Agreement. Any changes in the deposit and cancellation and use policies are effective only if executed in writing by an officer or the General Manager of VillaSummit. The term "occupant" or "occupants" as used in this Rental Agreement includes the registered guest and all other persons who occupy the vacation rental.

Accommodation Requests:

At VillaSummit, we make every effort to ensure that you get the exact property you request. If circumstances beyond our control prevent us from honouring your specific request, we will transfer your reservation to a comparable or upgraded unit.

Payments:

Advance deposits or rental payments shall remain the property of and for the use of Villa Breck subject to the cancellation policies below, and any interest income or profit from advance deposits or rental payments belong solely to VillaSummit. If all Deposit or Balance Due payments are not received by the due dates given on this Confirmation, this reservation will be considered cancelled under the terms and conditions provided herein and are subject to the following deposit and cancellation policies.

Deposit Policy:

If a reservation is made outside of 60 days prior to arrival, the initial deposit due is 50% of the total rent plus an 8.94% Amenity Fee. If a reservation is made within 60 days of arrival, the total rent plus all applicable taxes and fees are due at the time of reservation. If a credit card is used for payment, then the Guest authorizes VillaSummit to to charge any sums due under this Agreement to any credit card account held and provided by the renter at the time of booking. All Credit Card charges for final payment and switching cards for payment are subject to a 3% convenience fee within 60 days. The renter also authorizes VillaSummit to to charge the balance due 60 days prior to arrival with no notification to the renter.

Cancellation Policy:

A non-refundable credit card charge of 50% is due at the time of booking. The balance including the damage deposit is due 60 days prior to arrival. If the booking is within 60 days of arrival, then the entire balance including the damage deposit is due at the time of booking. If a credit card is used for payment, then the Guest authorizes VillaSummit to charge any sums due under this Agreement to any credit card account held and provided by the renter at the time of booking. The renter also authorizes VillaSummit to charge the balance due 60 days prior to arrival, with no notification to the renter.

 

Advance Deposits. All advance deposits are non-refundable. If total payment has been received and cancellation is made within 60 of arrival, all funds will be retained by VillaSummit excluding the damage deposit. In the event that VillaSummit can re-book the unit, all monies will be refunded, less a 20% handling fee. Refunds outside of 60 days are refundable less a 20% handling fee as well.

Incidentals:

A credit card imprint and up to $1000 authorization are required from all guests upon check-in. Unless the property required a Damage Deposit in advance at the time of booking.

Security Deposit Protection Plan:

VillaSummit reservations have the benefit of an optional Rental Guardian.com Security Deposit Waiver program at a cost of $49 to cover minor damages that may occur during your stay. This coverage plan covers accidental damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The coverage will pay a maximum benefit of $1,500.00. Any damages that exceed $1,500.00 will be charged to the credit card on file. If during your stay at one of our Rental Properties, a Covered Person causes any accidental damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $1,500. Certain terms and conditions apply: full details of the Security Deposit Waiver coverage are contained in the program Terms of Waiver. The Security Deposit Protection can be purchased up to, and including, check-in. By submitting payment for this reservation, you authorize and request Rental Guardian .com to pay VillaSummit directly any amount payable under the terms and conditions of the Security Deposit  Waiver. The Security Deposit Waiver coverage is not available and the fee is not charged for extended stays (rentals over 28 days.) Please contact VillaSummit directly if you do not wish to participate in this plan or assignment. Reporting Damage: Please note any damage to the rental unit upon your arrival and report it immediately to our office to avoid possible liability. If any loss or damage occurs during your stay, you must notify us immediately in order for the Security Deposit Waiver to apply. We inspect every rental unit after each guest’s departure; if unreported loss or damage is discovered after your stay, we will charge your credit card.  

 

Vacation Rental Insurance:

VillaSummit partners with Rental Guardian .com to offer our guests Vacation Rental Insurance Protection. With Vacation Rental Insurance Protection, you will be covered before and during your trip, subject to the terms and conditions of the Description of Coverage. Should you have a major medical issue or experience trip interruption due to a natural disaster, you will be covered by contacting Rental Guardian .com through their claims process. Guests may purchase Vacation Rental Insurance up to 72 hours prior to the start of travel or arrival/check-in (whichever occurs first.) However, for guests opting not to purchase the Vacation Rental Insurance, please be aware that no refunds will be available for unforeseen developments such as illnesses, natural disasters and the like; therefore, your trip investment could be lost. This plan does not include stays of 60 days or longer. The Vacation Rental Insurance fee is non-refundable fifteen (15) days after purchase

Housekeeping Services:

Housekeeping services vary by complex. Please check with the front desk upon check-in for services.

​

Length of Stay:

We cannot refund any monies should you decide to shorten your stay. Availability of lodging will determine if your stay can be extended. The guest is responsible for payment of all nights confirmed, regardless of the guest's late arrival or early departure date.  

 

Occupancy:

The unit reserved under this confirmation is limited to adults and families. Sports team participants, and individuals 24 years of age or younger unaccompanied by their parents or legal guardians, are not allowed in these privately owned units. If the number of adults and children exceeds the maximum allowed in this unit, if sports team participants, or if individuals age 24 or younger unaccompanied by their parent or legal guardian occupy this unit, it shall be cause for immediate termination of this occupancy without refund.

Age Requirments:

The unit reserved under this confirmation is limited to adults and families. Individuals 24 years of age or younger unaccompanied by their parents or legal guardians are not allowed in these privately owned units. If the number of adults and children exceeds the maximum allowed in this unit, or if individuals age 24 or younger unaccompanied by their parent or legal guardian occupy this unit, it shall be cause for immediate termination of this Rental Agreement without refund.

Pet Policy:

Pets are not allowed inside units or on the property, without the written consent of VillaSummit. If pets are inside units, or on the property without authorization, it shall be cause for immediate termination of the Rental Agreement without refund. If evidence of a pet is found after a guest's departure, a guest is responsible for excess cleaning fees. A minimum of $250.00 will be billed to the guest's credit card.

No Smoking:

All properties are smoke-free, including all public and private areas. This includes the interior of each condominium or townhome, decks, patios, hallways, lobbies, garages, and pool and hot tub areas.

Room Keys:

Only a certain number of keys are allowed per unit, depending on the size of the unit. GUESTS MUST RETURN ALL   KEYS TO OUR OFFICE AT THE TIME OF CHECKOUT. Due to security reasons, if a key is lost or stolen or accidentally taken home, we require a complete lock change to the unit. The charge for this is a minimum of $25. This can be paid at the time of check-out or we will automatically deduct the charge from your security deposit refund.

Telephone Services:

Long-distance service options are provided to you upon check-in.

​

Lost and Found:

Management is not responsible for the loss of money, jewellery or valuables of any kind. All items left behind by any and all guests are the sole responsibility of the guest. If you feel that you may have left an item behind, please call us so that we can search for it. If your item is found, we will return it to you for the price of postage plus a $15 surcharge. All items not called about or claimed within two weeks will be donated to a local charity.
